How to Dispute Courier Weight Discrepancies and Weight Freezes

LabelCropTools product documentation · Updated

Erroneous courier weight charges occur when logistics scanners inflate a 400g apparel package to 1.5kg or 2kg volumetric weight, charging the seller double or triple the freight fee. Filing a structured dispute with mathematical and photo proof within 48 to 72 hours is necessary to recover charges.

The standard volumetric weight formula

Indian couriers calculate volumetric weight in kilograms as: (Length in cm × Width in cm × Height in cm) divided by 5000. Chargeable weight is always the greater of dead scale weight and volumetric weight.

Soft polybag packages are often measured at their bulkiest point by automated courier sorting machines. Tightly packing items reduces volumetric overbilling.

Prepare your dispute dossier immediately

When raising a dispute ticket, attach a formal dispute letter stating the exact package dimensions, calculated volumetric weight, actual dead weight, and photo proof showing a measuring tape against the packed flyer.

LabelMaster's Weight Dispute generator creates an official formal letter PDF ready to be uploaded to seller support portals.

Track credit adjustments across billing cycles

Once the carrier accepts your dimensional dispute, verify that credit notes appear in your subsequent weekly or monthly marketplace settlement remittance.
